a. Account Profile Details

When you are registered by your academy as an Administrator, Coach, or Parent/Guardian, we store your name, email address, phone number, role, and login credentials. This information is required for authentication and to give you access appropriate to your role.

b. Student and Team Information

Academy administrators and parents may provide student details including name, date of birth, sport, team assignment, medical notes, and emergency contact information. This data is entered by a parent/guardian or academy administrator, and is used solely to support the student's participation in academy activities.

c. Attendance, Session and Fee Records

We store session schedules, attendance records (Present, Absent, or Late), tournament and match information, and fee payment status (paid, pending, or overdue) associated with each student and team.

d. Push Notification Tokens

We collect and store device push notification tokens to deliver session reminders, fee alerts, and academy broadcasts (General, Cancellation, Venue Change, and Safety Alert) directly to your device.

3. How We Use Your Information

We use the collected information to:

• Schedule and manage training sessions, teams, and tournaments.
• Record and display attendance history for each student.
• Track fee status and generate collection summaries for the academy.
• Deliver broadcasts and announcements to the relevant parents, coaches, or teams.
• Maintain each student's profile — attendance, fees, and sessions — in one place for their parent and academy administrators.

4. Information Sharing and Disclosure

We do not sell, rent, or trade your personal data. Your data is shared strictly under the following conditions:

• Within your academy: Coaches can only see the teams they are assigned to, and parents can only see their own children's information — never other students'. Academy administrators can access records for the academy they manage.
• Legal compliance: We may disclose data if required to do so by law, or in response to legal requests by public authorities.

5. Children's Privacy

Ath-Leo is used by academy administrators, coaches, and parents — not directly by children. Student profiles are created and managed by a parent/guardian or academy administrator, who is responsible for the accuracy of the information provided. We do not knowingly collect personal information directly from children through the App.

6. Data Security and Retention

We implement industry-standard encryption and safety measures to prevent unauthorized access, alteration, or disclosure of user data. We retain account and student information for as long as your account or your child's enrollment with the academy is active. Records are periodically archived and automatically deleted or anonymized after a retention period specified by your academy administrator.

7. Your Rights and Data Deletion

You have the right to access, update, or request the deletion of your account and associated student information. To request account deletion or the removal of your data, please contact your Academy Administrator or email our support team at info@optimageeks.com.
